A refrigeration failure in a commercial kitchen or hospitality venue is an immediate operational emergency. Knowing exactly how to respond can save thousands of dollars in spoiled stock and lost revenue.
1. Keep the Doors Closed
The instinct is often to repeatedly open the door to check if the unit is cooling down. Every time a cool room or fridge door opens, heavy, cold air spills out and warm, humid air rushes in. Keep doors firmly shut to preserve the internal temperature for as long as possible. A well-sealed commercial cool room can hold safe temperatures for several hours if left unopened.
2. Check the Basics First
Before assuming a catastrophic failure, verify the obvious:
- Power Supply: Has a breaker tripped on the switchboard? Is the unit securely plugged in?
- Airflow: Have boxes or stock been pushed hard against the internal evaporator fans? Has something blocked the external condenser vents?
- Controller Settings: Was the digital thermostat accidentally adjusted during cleaning?
3. Monitor the Warning Signs
If the unit has power but isn't cooling, listen and look:
- Is the compressor running constantly, cycling rapidly, or completely silent?
- Is there a thick build-up of ice on the coils?
- Is the unit making a loud clicking, buzzing, or grinding noise?

4. Have a Contingency Plan for Stock
If the temperature rises into the danger zone (above 5°C for extended periods), food safety is compromised. Have a plan to safely relocate high-value perishables to functioning backup refrigeration. Do not overload other fridges, as this may cause them to fail under the sudden heat load.
5. Know How Long You Actually Have
Timing decides whether this is an inconvenience or a stock write-off. A well-insulated walk-in cool room that stays shut will usually hold safe temperature for several hours. A freezer holds longer again, because frozen stock carries its own cold. An under-bench prep fridge or a glass-door display unit has almost no thermal mass and can be out of the safe range inside an hour, particularly in a hot kitchen.
Put a thermometer in the warmest part of the room, note the reading and the time, and check it again twenty minutes later. The rate of rise tells you far more than the number alone. Slow drift means you have time to plan; a fast climb means start moving the high-risk stock now, before it reaches the point where the decision is made for you.
6. Call a Commercial Specialist
Do not attempt DIY repairs on commercial refrigeration systems. These systems use high-pressure refrigerants and complex electrical controls. Unqualified tampering is dangerous and can void warranties.
Having a few details ready when you call shortens the visit considerably, because it often decides which parts come on the van:
- The equipment: Brand and model, usually on a plate inside the door or on the outdoor unit.
- The reading: What the controller says now, and what it said when you first noticed.
- The timeline: When it started, and whether it has been getting worse steadily or came on suddenly.
- What changed: A recent clean, a big delivery, a power outage, a new stack of boxes near the fans.
- The access: Where the outdoor unit sits, and whether anyone needs to be on site to reach it.

After the Repair
Once the unit is running again, ask what caused it. Most breakdowns are the end of a long, quiet decline rather than a sudden event, and the cause usually points at something that will happen again: a condenser that has not been cleaned in a year, a door seal that has been leaking for months, a drain that keeps blocking. Fixing the fault without fixing the cause buys time, not much more.
It is also worth writing down what happened while it is fresh: the symptoms, the date, the part replaced. Two or three entries in that record is often the clearest evidence you will get that a unit is coming to the end of its working life, and it makes the eventual repair-or-replace conversation a short one.
